Managing Presenter, Audio, and Video Rights

Promoting Participants to Presenter Role

There are times during a meeting when you may want a participant to be able to present. To allow participants to present from their computers, they need to be made a Presenter.

To allow a participant to present from their computer during a meeting:

  1. In the Attendee List pod, hover over the participants name. A pop-up menu will appear.

  2. On the menu, click the Request Screen Share icon. It will appear as if nothing has happened, but the participant will be prompted with a Begin Sharing Desktop? message.

  3. When the participant clicks Start, their desktop will be shared. The presenter icon will display next to their name.

To take back control of the presentation:

  1. In the Attendee List pod, hover over the participants name. A pop-up menu will appear.


  2. On the menu, click the Revoke Screen Share Rights icon. Their screen will no longer be shared and you will be the sole presenter again.

To set up a participant to present from their computer before a meeting begins:

  1. Make sure your presenter has registered in Adobe Connect.


  2. Navigate to the Tufts Adobe Connect Dashboard and log in.


  3. At the top of the page, click the Meeting tab. Your meetings will display.

  4. Click your meeting name. Your meeting information will display.

     
  5. Click the Edit Participants tab. The Available Users and Groups will display.

  6. On the right side, in the Current Participants list, click the participant whose meeting permissions you want to change. At the base of the window, click the Set User Role button.


  7. From the pop-up menu, select Presenter.

Sharing the microphone

Hosts and Presenters have automatic audio rights. Participants need to be granted permission to speak to the group.

To grant audio rights to a participant:

  1. In the Attendee List pod, hover over the participant. A menu will appear.

  2. On the menu, click the microphone (Grant Microphone Rights tool). A microphone will display beside the attendee's name.

    The Participants will need to click their Talk button VC_AC_share_mng_rights010 when they want to be heard.


To revoke microphone (audio) rights:

Follow steps 1 and 2 above. Clicking the attendee a second time will remove their microphone rights.

 


Sharing the webcam

Hosts and Presenters have automatic camera rights. Participants need to be granted permission to use the camera.

To grant audio and camera rights:

  1. In the Attendee List pod, click the participant. The participant will be shaded green.


  2. In the lower right corner of Attendee List pod, click Pod Options. A menu will appear.

  3. Select Change Enhanced Participant Rights... The Enhanced Participant Rights dialog box will open.


  4. Check Camera and Voice, then, click OK. The dialog box will close.

  5. From the Menu bar, Select Pods > Camera and Voice. The Camera and Voice pod will open on all computers.


  6. In the lower left corner of the participant's Camera and Voice pod, they should click the Start my camera and voice tool. The participant's webcam will broadcast.

Raising and Lowering Your Hand

Attendees can initiate communication and participate in meetings without using audio. Acrobat Connect Pro enables attendees to raise their hand on the screen (using emoticons) or ask a question using the Chat pod. Optionally, once an attendee has raised his or her hand, the presenter may choose to offer the participant the microphone (the Rights to Speak).

To raise a hand:

  1. On the bottom left corner of the screen, click the Raise Hand button. A hand appears next to the attendee's name in the Attendee List and everyone in the training session or meeting can see the raised hand emoticon. The presenter will also see the Decline/Approve prompt.

  2. If the presenter wishes to grant the attendee microphone rights to speak, they click the Approve link. The attendee will be able to speak to the meeting using their microphone.

    NOTE: Clicking the Raise Hand button again removes the raise hand icon.

Other status options that attendees can use to communicate during a meeting are displayed below:
